Electivio Booking Terms and Conditions

1. Definitions

1.1. "Electivio" refers to Electivio AG, a company registered in Switzerland under number CHE253230953, whose Registered Office is at 88 Talstrasse, Pfäffikon SZ, Community Freienbach SZ, Switzerland.
1.2. "Client" refers to any individual seeking to book a Procedure through Electivio.
1.3. "Procedure" refers to the hair transplant or other medical treatment facilitated by Electivio.
1.4. "Clinic" refers to the medical facility where the Procedure will be performed.
1.5. "Booking" refers to the confirmed arrangement for a Procedure between the Client and Electivio.
1.6. "Deposit" refers to the initial payment required to secure a Booking.
1.7. "Total Booking Cost" refers to the price payable by the Client for the Procedure, and associated services such as hotel reservation, transfers, and accommodation, as outlined in the agreed-upon itinerary and including services provided by Electivio, its partners and 3rd parties contracted to perform activities as required to fulfil the actions described in the "Total Booking Cost".
1.8. "Medical Questionnaire" refers to the document completed by the Client as part of the pre-booking process, and used to identify a specific group of contra-indications that may affect the candidacy of the Client to receive a procedure. The final decision about the suitability of the Client to receive procedure will be made by the surgeon at the Clinic. It is the Client's sole responsibility to provide accurate information.

2. Booking Process

2.1. To initiate a Booking, the Client must complete the necessary forms and provide accurate and complete information as requested by Electivio from time to time during the process.

2.2. A Booking is considered confirmed when Electivio receives the Deposit from the Client.

2.3. The Deposit amount will be 20% of the Total Booking Cost, as specified by Electivio.

2.4. Electivio will provide the Client with a Booking confirmation, and itinerary detailing the Procedure, Clinic, scheduled date, hotel, transfer, and Total Booking Cost.

2.5. The Client is responsible for ensuring the accuracy of all information provided to Electivio.

2.6. In order to enable the organisation of transfers from airport to hotel and vice versa, the Client must advise Electivio of their flight numbers and scheduled arrival time at least 10 days before the planned procedure. Failure to do this may leave you stranded at the airport and responsible for your own transportation arrangements.

3. Payment Terms

3.1. After paying the deposit, the Client is responsible for paying the remaining balance of the Total Booking Cost, which must be paid at least 21 days before the Procedure.

3.2. Electivio accepts payment in euros.

3.3. Electivio accepts the following payment methods: credit or debit card, bank transfer, apple pay, pay-pal, Klarna.

3.4. If the full payment is not received by the due date, Electivio reserves the right to cancel the Booking, and the Deposit may be forfeited, subject to the Cancellation Policy outlined in Section 4.

3.5. Any additional costs incurred by the Client not explicitly included in the Total Booking Cost (e.g., travel upgrades, additional nights' accommodation beyond the agreed booking) are the Client's sole responsibility.

4. Cancellation Policy

4.1. If the Client wishes to cancel a Booking, they must notify Electivio in writing: by email to cancel@electivio.com
4.2. The date of cancellation is the date on which Electivio receives the Client's written notification by email.
4.3. The following cancellation fees apply:

4.3.1. If the Booking is cancelled 21 or more prior to the scheduled Procedure date, the Client will ordinarily receive a full refund of all monies paid up to that date.

4.3.2. If the Booking is cancelled less than 20 days prior to the scheduled Procedure date, Electivio will retain up to 100% of the monies paid, but shall use it's reasonable endeavours to mitigate the costs to the Client through negotiation with service providers on the Clients' behalf.

4.3.3. In the event that Electivio cancels the Booking for any reason other than the Client's failure to comply with these Terms and Conditions, Electivio will offer the Client the option of:

Non-Disclosure of Information: If the Client fails to provide accurate and complete information about their medical history or current health status, and this omission compromises the safety or viability of the Procedure, Electivio reserves the right to cancel the Booking and the Total Booking Cost will be forfeited.
4.5. Change in Medical Status: The Client is obligated to inform Electivio immediately of any change in their medical status between the date of the initial medical assessment/form completion and the date of the scheduled Procedure. If the Client's health condition deteriorates to the point that continuing with the procedure is no longer recommended Electivio will work with the Client and our partners and suppliers to mitigate the costs -which will vary according to the timing and the financial commitments or costs Electivio has taken up until that point, but please also see point 7, where we recommend that the client takes out comprehensive travel insurance to protect again such scenarios.

5. Rescheduling Policy

5.1. If the Client wishes to reschedule a Booking, they must notify Electivio in writing as soon as possible, by sending an email to bookings@electivio.com
5.2. Rescheduling is subject to the availability in both Clinics and Hotels. Alternate arrangements may be offered.
5.3. Electivio will make reasonable efforts to accommodate the Client's request to reschedule.
5.4. Electivio reserves the right to charge a rescheduling fee to cover any costs incurred as a result of the rescheduling made at the Client's request.
5.5. Rescheduling Window:

5.5.1. Any rescheduling request must be made no less than 21 days prior to the original scheduled Procedure date.

5.5.2. Rescheduling within the specified timeframe is subject to Clinic availability, and Electivio cannot guarantee that the requested new date will be available.

5.6. Surgeon/Clinic Unavailability:

5.6.1. In the event of surgeon unavailability (due to illness or unforeseen circumstances) or Clinic unavailability, Electivio will arrange for the Procedure to be performed by an alternative surgeon of comparable expertise at the same Clinic or, if necessary, at an alternative Clinic.

5.6.2. Electivio will notify the Client as soon as reasonably possible of any such unavailability and proposed alternative arrangements.

5.6.3. If the alternative arrangements are not acceptable to the Client, the Client may be entitled to a refund in accordance with the Cancellation Policy (Section 4), subject to Electivio's discretion and the specific circumstances.

6. Client Responsibilities and Health Information

6.1. The Client is responsible for providing accurate and complete information about their medical history, current health status, and any medications they are taking, via the Medical Questionnaire and in the process of any subsequent dialogue. If the Client's health situation has changed and they need to discuss it's potential impact on the upcoming procedure they should immediately email bookings@electivio.com to discuss.

6.2. The Client acknowledges that Electivio is not a medical provider and does not provide medical advice. Electivio is solely responsible for organizing travel and scheduling.

6.3. The Client consents to the sharing of their medical information with the Clinic and any other parties involved in the provision of the Procedure and of general information for related services. The client shall indicate Express Consent during the booking process, and such consent can be withdrawn at any time by email to DPO@electivio.com

7. Liability and Insurance

7.1. Electivio is responsible for arranging the Procedure and related services (including hotel, transfers, and accommodation as per the agreed itinerary) with the Clinic and associated service providers.

7.2. Electivio is not liable for any medical malpractice or negligence on the part of the Clinic or its medical professionals, who each take on that responsibility themselves and are obliged to have medical insurance in place in line with local laws.

7.3. The Client is responsible for obtaining appropriate travel insurance and medical insurance to cover any unforeseen events related to the Procedure and travel. We recommend strongly that such travel insurance should also cover any medical complications and associated costs or liabilities that may arise following the Procedure.

8. Governing Law and Dispute Resolution

8.1. The place of supply shall be defined as either Electivio's address in Switzerland (for the general service) or Turkey for specific local actions, according to the applicable scenario.

8.2. In the event of any complaint the client should in the first instance alert Electivio by email to feedback@electivio.com in order that a swift and satisfactory resolution may be found.

8.3. These Terms and Conditions shall be governed by and construed in accordance with the laws of Switzerland.

8.4. Any dispute arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Switzerland, all parties shall initially attempt to resolve any disputes by negotiation or mediation.

9. Amendments

9.1. Electivio reserves the right to amend these Terms and Conditions at any time.

9.2. Any amendments will be effective immediately upon posting on the Electivio website.
